THE THAMES CLUB - STAINES

Aqua Rangers Swimming School Terms and Conditions - All customers are expected to abide by the terms and conditions set out below.
 

  • Children under the age of 12 years must be supervised by a responsible guardian provided by the client who stays within sight of the lessons at all times. Children over the age of 12 years can attend without a responsible guardian, but Aqua Rangers can only be responsible for children during the scheduled running time of the swimming lesson. It is the responsibility of the parent/guardian to ensure the safety and welfare of the child at all other times and must inform the teacher prior to the lesson of any concerns they have.

  • A parent or guardian must accompany the child in the water for parent and baby lessons only. Aqua Rangers can only be responsible for children during the parent and baby lessons while holding the child during the lesson and the parent/guardian is responsible at all other times.

  • Adult swimming lessons are provided with the understanding that the student is swimming and using the facilities at his or her own risk.

  • Customers accept that lessons are mostly run with the instructor in the water with the student. In these classes, in order for the instructors to properly conduct the lesson, they will need to be physically in contact with the student in a professional manner to provide support in the water, and to convey correct stroke techniques.

  • Please be aware that lessons usually run with multiple teachers working alongside each other managing their own separate lessons.

  • We operate a strict nappy policy for those children not yet fully toilet trained.

  • Please do not allow your children to run on the pool side, remove loose fitting or sharp jewellery, tie back long hair or wear a swim cap.
     

Aqua Rangers is not responsible for any lost, stolen or damaged items at any of the locations we conduct our lessons. Please report any missing items to the club's reception.


Term time lessons
The terms are approximately 12 or 14 weeks in duration.


Payment
Fees are to be paid in full by the given deadline (this will be stated on the confirmation email you will receive after the booking). Failure to do so, might result in your spot given to another student.

Once you confirm your term time booking or intensive course booking with us and pay your £50 deposit you will not have this refunded back to you regardless of the circumstances.


Method of payment
For the The Thames club: Payment can be made directly into an account, we will provide you with all information at the moment of booking.

Classes may be joined at any point in the term when spaces are available (once the term has started all courses are charged pro rata). Payment needs to be made within 48 hours of the booking.

Cancellation policy for term-time courses:

If you need to cancel your term-time swimming course reservation, you must inform us at least 2 weeks prior to the course start date. You will have the following options:

  • request a refund - the refund will be issued minus a 35% admin fee.

  • request a credit note, this will be issued for the full value of the course, can be used for future bookings and will be valid for 6 months.

 

Any cancellations with less than 2 weeks' notice will not be eligible for a refund or credit note.


Half term

During the half term and school holidays, we run intensive swimming courses - 4 or 5 days courses.


Intensive Course Payment

Fees are to be paid in full within 48 hours of the booking.


Cancellation policy for intensive swimming courses:

If you need to cancel your intensive swimming course reservation, you must inform us at least 1 week prior to the course start date.  You will have the following options:

  • request a refund - the refund will be issued minus a 35% admin fee.

  • request a credit note, this will be issued for the full value of the course, can be used for future bookings and will be valid for 6 months.

Any cancellations with less than one week's notice will not be eligible for a refund or credit note.


Discounts

We do not offer any discounts for siblings or block bookings as our prices are highly competitive.


Trial Lesson

If you want to try us out or are unsure your child is ready for swimming lessons we offer one trial lesson before committing to the term. Please note all trial lessons are priced at the standard rate of the class you will be joining. This will be clarified at the moment of booking. All trial lessons are to be paid for before the class by bank transfer to the account provided at the time of booking.


Assessment

We offer a free 10 minutes assessment, if we think your child will be able to join in an already open class. This is to establish your child ability and swimming level.


In the event your teacher is unwell/unable to teach.

In the event your teacher is unwell/unable to teach or if a teacher is no longer teaching with Aqua Rangers the swim school reserves the right to assign a replacement instructor to ensure that your lesson/s are covered. Please note that no credit or refund will be provided due to a change of instructor.

In the event we are unable to provide a replacement teacher - we will credit the lesson to you. The credit can be used against future bookings, if you are not going to continue with the swimming lessons, we will give a refund.
We will inform you as soon as possible of the change via email and/or via text message.


Missing a lesson due to illness, holiday or other commitments

In the event that you are unable to attend a lesson, we regret that we are unable to offer you a refund or make up lesson.


In the case of a serious illness/operation a doctors note must be provided eg. Chickenpox or broken bones. Only on submission of this note, can allowances in the form of a make-up lesson be considered, each case will be considered individually. Please note we cannot offer you a refund unless you have to withdraw from the lessons all together, then we will offer you a refund minus 35% of the fee paid. In order to cancel your booking during the term due to sickness, you will need to send an email to admin@aquarangers.com as well as an official note from your qualified GP, consultant or specialist. The note needs to be received within 7 days of your cancellation email, and state that the child is not able to swim for at least 4 consecutive weeks during the Aqua Rangers term. We do not offer any refunds for lessons missed prior to receiving the necessary cancellation email and official note. Please note we cannot reserve a space for the duration of the sickness. If you would like a refund for the missed lessons, you will need to cancel all the remaining lessons in the term. This offer is only valid for the student booked into the lesson. We cannot offer any movements, make-ups, refunds, credits for any parents/guardians taking a child to the class who are affected by long-term illness, or any friends/relatives of the student who is ill who are also swimming with us

No credits/refund for scheduled lessons can be offered in the case of circumstances outside of our control such as Adverse Weather conditions, unless the pool is unusable/closed. In this case we will offer to reschedule your lessons, if we are unable to offer you a suitable day/time, we will offer you a credit to be used against future bookings, in the case you will not be continuing with Aqua Rangers we will offer you a refund.

In the unlikely event of the ‘pool’ not being available for us to use due to technical difficulties or health and safety issues The Aqua Rangers swimming school will endeavour where possible to reschedule the lessons, if we are unable to offer you a suitable day/time, we will offer you a credit to be used against future booking, in the case you will not be continuing with Aqua Rangers we will offer you a refund.


Photography & Video

For child protection no photos or videos can be taken during the lessons, unless previously consented by all adults in attendance, including the instructor and authorised in writing by the club manager.


Medical conditions

It is your legal responsibility to disclose any pertinent medical information regarding you (adult lessons), your child (children’s lessons), or you and your baby (parent & baby lessons). This must be provided in writing via email to admin@aquarangers.com, so the details can be included in the child’s medical notes on the Aqua Rangers database.

You agree to inform The Aqua Rangers swimming school of any changes in any medical condition or psychological conditions as soon as you are aware of them. All information will be kept strictly confidential but please note instructors and office staff will have access to these notes


Illness
Never bring your child swimming if they have any illness such as an ear infection, diarrhoea, chicken pox, impetigo, conjunctivitis or merely a bad cold. Please wait until your doctor has given the all-clear before returning to classes.
In the instance of sickness and diarrhoea your child must have been clear of all symptoms for at least 48 hours before attending a lesson.


Change of members details

Parents are responsible for the notification of any changes to their address, contact details, pupil’s health or condition and also if there is a change of care-giver. These changes and any other relevant changes should be made in writing - admin@aquarangers.com - and conveyed to the administration department. The security and care of our pupils is of paramount importance to us. All data is protected by the Data Protection Act of 1998.


Re enrollment

Around the 6th or 7th week into the term, we will contact you via email to start the re enrollment process, we ask you to respond promptly with your answer.

As we deal we a large number or customers we might not be able to respond right away.

As an existing customer, you will have priority to continue with the class you currently have, or put in a request to move. If this is a case, we will get back to you with options.
 

If we do not hear back from you, we usually send a reminder email and perhaps a text or phone call. If we do not receive a reply from yourself then your class will be opened up and offered out to other students.

Once we have dealt with all existing customers, we then open to the waiting list.

We will at once contact all the clients on the waiting list and places are offered as first come first served basis, so if you are on our waiting list and keen to get in, please respond promptly.

Once we have secured a place for you, we will send you a confirmation email with all dates and payment details and a payment deadline.

We ask all clients to make a full payment by the deadline, failure to do so, might result in your spot given to another student.
 

If you are unable to pay the full amount for any given reason, please contact us - admin@aquarangers.com

If your lesson is cancelled part way through, you will only be credited if you were in attendance, and for the part of the lesson that had to be cancelled, on a pro-rata basis.


Adult lessons

Your payment for the lesson needs to be made seven days in advance of your next booked lesson. If you need to cancel your lesson then you must let us know by email to admin@aquarangers.com. If you fail to cancel within less than 48 hours of your next booked lesson then you will still be charged for that lesson.


General Financial Policies

All requests for cancellations or refunds need to be made in writing and sent via email to Aqua Rangers.

Refunds are provided via bank transfer. You will also need to contact the office with your banking details:

For security purposes, please do not provide any banking or card details via email.

If you do not attend a lesson you will be fully charged. We do not accept cancellations or issue movements, refunds, credits or make-up classes for missed lessons

Your payment indicates that you have read and agree to these terms and conditions, it is your responsibility to have fully read and understood these terms and conditions before proceeding with the booking.


Changes to Terms and Conditions
From time to time The Aqua Rangers may update these terms and conditions by sending you either an updated version or notification of minor changes. If you are not happy to accept these changes we would ask you to notify the Aqua Rangers in writing admin@aquarangers.com of your non acceptance within 14 days of your receipt, failing any such communication from you we deem that you fully accept our updated agreement and terms.


Complaints Procedure
Our aim is to ensure you are very happy and satisfied with our service. In the event that you need to complain, please write to us - admin@aquarangers.com we will do our best to solve the problem.
